All employees are responsible for protecting personal information acquired by Kingsbrae Garden. The assistant manager (administration) is the person responsible for Kingsbrae Garden’s compliance with the Personal Information Protection and Electronic Documents Act.

Kingsbrae Garden collects the information as specified for members and prospective members. Any forms for the collection of this information, whether paper or electronic, shall specify the reasons for the collection of the information.

Kingsbrae Garden collects information from persons wishing to become members of Kingsbrae Garden. This information:

• allows contact for the purpose of informing members of programs or information related to the operations of Kingsbrae Garden
• allows for the billing of membership fees
• provides information as to the members to be included in a family membership

By completing a membership application document, you acknowledge that you are freely providing all information to Kingsbrae Horticultural Garden Inc. Kingsbrae Garden will use the information you provide in accordance with its policy for the protection of personal information.

In contemplating any changes to the purposes of collecting personal information, Kingsbrae Garden shall abide by the principle that only information directly necessary for a specific purpose will be collected.

Kingsbrae Garden shall use any personal information collected only for the purposes allowed by these policies.

Kingsbrae Garden shall ensure that personal information is seen only by those to whom the information is necessary in carrying out their employment functions.

Kingsbrae Garden shall ensure that any information in its possession is current, complete, and accurate.

Kingsbrae Garden shall ensure that personal information is kept in reasonable security as follows:

Paper-based information shall be kept in an appropriate filing system. Information shall not be left out when not in use, nor shall it be displayed where it can be viewed by a casual observer.

Computer-based information shall be kept on a machine under the control of the user most immediately connected with the information. Information shall not be copied to another machine unless for a specific project, upon the completion of which the information shall be erased.

Information shall be retained for only so long as is required by the dictates of Kingsbrae Garden’s operations after which it will be destroyed in a non-recoverable fashion.

Kingsbrae Garden shall respond quickly and appropriately to all requests by individuals regarding their personal information. Specifically, this means:

• making the privacy policy readily available
• informing inquirers whether or not Kingsbrae Garden holds information about them
• explaining how an inquirer’s information has been used and to whom it has been disclosed
• providing access to an inquirer’s information
• correcting or changing any information
• providing a copy of any information

Any complaints about the collection or use of personal information shall be referred directly to the assistant manager (administration).
